Job description


Our Client, a Douglas-based Technology Client, is growing at a consistent rate, hence is growing their local team across a number of functions. They now require an Administrative Assistant to take hold of their admin, diaries, and introduce organisation into their day.

Role Profile

  • Reply to social media queries / convert into jobs or surveys in Sherpa Desk ticketing system
  • Customer Success Representative - Answer Phones and be the first point of contact for customers, arrange appointments
  • Help organise Diary and co-ordinate workflow in a logical way to maximise productivity
  • Design workflows, spreadsheets to keep track of invoicing, client usage of items to ensure they are charged out correctly and streamline where possible
  • Send out targeted e-mails, respond to replies and convert to appointments / get them booked in for a face to face meeting
  • Manage group mailboxes
  • Manage Helpdesk system (If a customer cancels an appointment make sure it is updated in the system, reschedule a calendar invite and send out)
  • Answer queries where you feel confident and log a call back with all relevant details for anything that can't be answered there and then
  • Be friendly and helpful in person and on the phone
  • Triage high severity issues and liaise with the Director to ensure issues are handled in a timely fashion
  • Help prepare reports for the board to help get a better insight to the business, identify profitable areas and feed these into the decision making process
Person Profile
  • A minimum of 1 years' office experience
  • Familiar with MS Office Suite
  • Organised and detail oriented
  • Be self-motivated and responsible for own time management
