Overview

Our Douglas-based Client are market leaders in providing complete solutions to the superyacht industry. To support their expansion, an opportunity has arisen for a Maritime Compliance Assistant to join their team.

Role Profile

You will be responsible for the day-to-day support of the Compliance Department functions. Key tasks and Responsibilities include:

Crew and Vessel Certification

  • Maintain up-to-date list of current crew serving on clients' yachts, ensuring that they are correctly certified for their appropriate roles
  • Maintain up-to-date list of statutory certificates of clients' yachts, ensuring that they remain valid
  • Liaise with clients and crew to ensure that above certificates are renewed as required
  • Assist the Crewing and Recruitment Departments with any crew-related queries that they may have

ISM and ISPS

  • Assist with the onboard safety management of yachts receiving Management Support Services. Assist in ensuring that the yacht complies with all national, international and Company safety requirements
  • Review yacht ISM reports and returns, collate and draft feedback messages
  • Updating tracking and form approvals both outside of, and within safety management software
  • Liaising and supporting clients and crew with any technical or regulatory queries that they may have
  • Liaising with Flag States, Class Societies and, where appropriate, service providers and equipment manufacturers in support of the above

Fleet Messages

  • Issue worldwide and specific Threat Report messages
  • Issue Flag State Shipping Notice update message on a fortnightly basis
  • Issue of other Fleet Messages as instructed by the Maritime Compliance Manager
  • Maintain an up-to-date index of Fleet messages issued

General Office Duties

  • Undertake a rotational "duty day"
  • Maintenance of Maritime Compliance Department records and vessel correspondence
  • Updating timesheets, where required
  • Checking and approving invoices related to Maritime Compliance Department
  • Preparation of reports and records
  • Arrange official courier mail
  • Liaising with other departments
  • Any other reasonable requests from MCOs, MCM, or the Board of Directors

Person Profile

  • Highly motivated to provide clients and crew with exceptional levels of service. Possess a basic level of practical knowledge of the international and national maritime regulations, and a sound understanding of seafarers' vessel certification processes

Computer Skills:

  • Experience and knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Familiarity with Laserfiche, Nextcloud, and the various planned maintenance, vessel tracking and alerting programmes to which clients subscribe

Knowledge, Experience and Skills:

  • Ideally previous experience at sea or ashore in the shipping industry
  • Ideally holding recognised Engineering or Deck Qualifications; or Tertiary educational qualifications
  • Working knowledge of the ISM and ISPS Codes (in-house training provided)
  • Working knowledge of STCW, SOLAS, Maritime Labour and MARPOL Conventions (in-house training provided)
  • Systematic work approach and attention to detail
  • Computer Literacy
  • Above average communications skills
  • Ability to meet deadlines
