Job description
Overview
Our Client are a leading communications brand with an outstanding reputation for customer service and value commitment. An opportunity has now arisen for an HR Assistant.
Supporting the Senior HR Manager, the HR Assistant will work across the following key areas:
Recruitment Administration
- Manage the recruitment inbox and respond to candidate queries
- Coordinate interview scheduling and prepare interview documentation and scoring grids
- Maintain accurate recruitment records and candidate files
- Support student events, careers initiatives and work experience placements
- Coordinate travel arrangements for new and departing employees within other regions
Offer & Onboarding Administration
- Draft and issue offer letters and contracts
- Ensure all signed starter documentation is received prior to start date
- Complete onboarding checklists, system setup and benefits administration
- Conduct pre-employment screening including references, qualification checks and finance checks
- Assist in preparing and tracking documentation for work permits, visas, medical and dental clearances
- Arrange accommodation for business visitors and overseas hires where applicable
- Coordinate induction scheduling and documentation
- Process probation outcomes
Employee Lifecycle Administration
- Process starters, leavers, transfers and contractual changes accurately
- Manage the HR Admin inbox and respond to employees queries, or escalate further within the HR team
- Draft confirmation letters for changes to employment terms
- Maintain HR systems and employee records ensuring data accuracy
- Track time-bound contracts and flag upcoming renewals
- Prepare contract renewal documentation in line with legislative requirements
- Maintain accurate records of housing and work permits, visas etc.
- Administer healthcare changes and benefits updates
- Process work anniversary gifts and long-service awards
- Raise Purchase Orders for HR invoices as requested by the team
Absence Administration
- Record and monitor employee absence data ensuring medical certificates are received
- Prepare monthly absence reports and ensure return-to-work documentation is completed
Learning & Engagement Support
- Manage training requests, approvals and training agreements
- Maintain accurate training records and learning system updates
- Support wellbeing and engagement initiatives across all regions
- Administer Academy recruitment logistics and support regional careers events
Compliance & Data Management
- Maintain GDPR-compliant electronic filing systems
- Ensure accurate and secure handling of sensitive employee data
- Administer regional insurance renewals and healthcare notifications
- Support audit preparation and documentation retrieval
The ideal candidate for the role of HR Assistant will be:
- CIPD Level 3 qualified (or working towards)
- Previous HR administration experience within a fast-paced commercial environment
- Excellent written and verbal communication skills
- Highly organised with the ability to manage competing priorities
- Self-motivated and able to work independently and collaboratively
- Strong attention to detail
- Confident IT and HR systems user
- High level of confidentiality and professionalism
